  1. Who We Are

  1. What Personal Data We Collect and Why We Collect It

For this site to function correctly, we need to collect some data about our users. Our web host creates Apache Server Logs, which records visits to this website, capturing the time this site was accessed, which resources were requested (e.g. page viewed) and the IP address of the user.

The purpose of this data collection is primarily for security to enable us to identify malicious attempts to access our website and take preventative measures (e.g. IP address blocking) to prevent it from occurring again. The information gathered by our logs is also able to produce analytical data in a readable format through AWStats to help us understand how our users view this site and allow us to better provide our services to you.

We make no attempt to de-anonymise our users via this information, nor will we reveal it to any third-party unless required to do so by law. No cookie is set for this data as it is handled automatically by our web host.

 

  1. Comments

Occasionally, we may publish content that allows a user to leave a comment. If you choose to leave a comment, we will collect your IP address and browser user agent string to protect against spam or other forms of malicious messages such as those containing links to harmful sites. An anonymised string created from your email address (sometimes known as a hash) may be provided to the Gravatar service to see if you are using it and if you are, your chosen profile picture will be displayed. If you do leave a comment, a cookie will be set to remember your information so that you do not need to enter it again. This will automatically expire after one year.

We wish to make clear that any information provided to us via a comment form will not be used to contact you or add you to any mailing list. If we respond to your comment, we will do so via the website. Your personal data will not be shared with anybody else unless we are required to do so by law.

 

  1. Contact Forms

If you contact us via the Contact Form, we will ask you for a name and email address in addition to your message. We use this data to respond to your query. Your information will be retained by us for six months following your last communication with us unless you have previously agreed for us to keep your data for longer. We will not use any information you provide to us to spam you or add you to mailing lists without your consent.

In some circumstances, we may use your data to make follow up queries – if, for example, you have expressed an interest in one of our services, but the timing was not right, then we may contact you at a later date to inquire as to whether you still have an interest. You are free to inform us that you do not wish to receive follow-up communications of this nature and we will respect your wishes.

You may ask us to delete the information we hold about you at any time by contacting the Data Controller (information at the top of this page).

 

  1. Cookies

We are proud to say that we use minimal cookies on this site. The Coaching Team does not install any tracking cookies or advertising cookies. In addition to the possible cookies mentioned in Section 3, a Session Cookie may be installed when you visit this site. This cookie will be deleted automatically upon leaving the site or closing your browser. It does not provide us with any information about you or your device and is only installed to help us display the site correctly in your browser. If this cookie is installed, it will appear as the-coaching-team.com in your browser’s information window.

 

  1. Embedded Content From Other Websites

We may occasionally embed content such as videos, images, etc. from other websites. Embedded material from other sites behaves in the exact same way as if the user had visited the other website.

These websites may collect data about you and if you have a logged-in account with them, may monitor your interactions with them. We will make it clear when any content has been embedded via a third party, and if you have any concerns, we would advise you to visit the third-party Privacy Policy before viewing.

 

  1. Third-Party Requests

Our website uses fonts provided by Google Fonts. When you use our site, The-Coaching-Team.com will make a connection to the Google Fonts API to retrieve the necessary data to display the font on our website. As explained by Google, the Google Fonts API is designed to limit the collection, storage and use of end-user data to what is needed to serve fonts efficiently. Google Fonts does not install any cookies nor are any credentials sent to Google. The third-party connection made by your browser will be either fonts.googleapis.com or fonts.gstatic.com.   1. Analytics

We do not use any third-party analytic solution aside from that made available by default from our web host (AW Stats). Your IP address and session information will be recorded in logs as explained in Section 2 of this Privacy Policy. We do not receive any information that would allow us to identify you, nor do we have any interest in doing so.

 

  1. Who We Share Your Data With

Unless instructed to do so by law enforcement, we will not share any information you provide to us with a third-party unless we have your explicit consent. Although rare, we may ask you if we can pass along your data should you enquire about a service that we do not offer, but we can recommend a provider who does.

If you click on one of the social media links, or a third-party link, on this site, some information (such as referral data) will be passed to the third-party. This is entirely automated and captured by their servers.

 

  1. How Long We Retain Your Data

Data gathered automatically by our server logs is deleted every six months, although anonymous analytical information is retained indefinitely. Once session data is removed, it cannot be recovered.

Comment metadata is retained indefinitely, although if you wish us to delete your comment for any reason, you may contact us using the email address provided when you left your comment. For authentication purposes, we cannot remove a comment if the removal request comes from a different email address.

Data you provide to us is stored for six months unless otherwise agreed (see Section 4).

 

  1. What Rights You Have Over Your Data

You are entitled to receive an exported request of any personal data we hold about you, including information you have provided to us. This does not include any data we are obliged to keep for administrative, legal or security purposes. If you wish to receive a copy of your personal data, please contact the information controller using the information at the top of this page.

Please be aware that although you are entitled to receive a copy of your personal data for free, under General Data Protection Regulation (GDPR) rules, we are authorised to levy a reasonable fee against nuisance requests. These include, but are not limited to, those requesting data with whom we have had no prior communications and who would be aware of this fact and those who are making unjustifiably frequent requests.

 

  1. Where We Send Your Data

Your data will be stored in the United Kingdom. Due to the nature of our work, your data may be processed at various locations throughout the UK and occasionally abroad. Any information you communicate to us via this website will be sent to our servers and accessed, processed and stored at our present location.

Depending on your email provider, some of your data may be sent outside the United Kingdom or European Union while in transit. This is a process that we have absolutely no control over.

 

  1. How We Protect Your Data

Your data will only be accessed by employees of The Coaching Team. We do not allow anybody else to access your information. We will not process your data over shared connections or via non-private connections such as public WiFi. All devices we use in the storage and processing of your data are password protected, securely stored and where necessary encrypted for maximum security. We also use Two-Factor Authentication (2FA) where appropriate.

 

  1. What Data Breach Procedures Do We Have in Place

In the event of a data breach, we will contact anybody whose data is likely to have been affected within 48 hours. We understand your personal information is important to you, and therefore we will take a cautious approach to any data leakage by contacting everyone who may have been affected but not necessarily has. We will also report any data breach to the relevant authorities for investigation.

We actively work to limit the vulnerability of our users to data breaches by not storing more data than is necessary, restricting access to that data and ensuring that any device we use to process your information is encrypted, protected by a firewall and both virus and malware free.

 

  1. What Third-Parties Do We Receive Data From?

We receive no additional data about our users from third-parties.

 

  1. What Automated Decision Making and/or Profiling Do We Do With User Data?

We do not engage in any automated user profiling. Our website hosts no advertising and is not a member of any tracking networks. We do not use algorithms or computer programmes to automate any aspect of our decision-making processes, aside from spam protection and website security measures. When we store and process your data, it is a human being making any decisions as to how to contact you and not a machine.
